Nothing you type leaves your computer. We don't see it, send it or save it.

See how a bereavement letter comes together for one person. Pick one of these 3 sample letters, make your choices, and download it as a PDF. There's no account needed. The full tool is free with a hospice team account.

This is a made-up example so you can see how it works.

Who's due

Mailed Mail by For Letter
1. Your hospice

2. My list

Each person gets their own letters, so a wife and a brother can each hear from you in words that fit. Your list isn't kept on this page. Save it before you close.

The saved list is a small file on your own computer. It holds family names, so keep it with your private records.

2. The person who died
3. Who this letter is for

These letters go to the parent or guardian, with a note on top asking them to read it first. Pick the set that fits the child, not only the age.

More about this person Optional
Hard circumstances Optional. Each adds a line to the letters where it matters.
5. Extra letters that fit this family

Send only what fits. The dates are worked out for you.

A Special Day Is Coming goes out about 10 days before each day you tick.

Letters you can send any time: Thinking of You, For the care team, and For a roommate or fellow resident. Pick them in the Letter box under "Any time." For a care team or roommate, add them as their own person in this family and put their name after "Dear" (like "staff of Rose Wing").

Mailing schedule

Dates allow 1 to 5 days in the mail. A date moves earlier when a letter could land on a holiday, the anniversary or a birthday, and on weekends. Pick any letter to open it.

Good to know

Medicare's hospice rule says bereavement services must be available up to one year after the death (42 CFR 418.64(d)). Many hospices offer about 13 months, but that's a program choice. Follow your own bereavement plan of care.

Please check two lines against your program: what you offer in Letter 3, and when support ends in Letter 13.

Children's and teen letters go to the parent or guardian, with a note on top. They decide whether, when and how to share it. Please have your own child life specialist or grief counselor read these letters before you send them.

Ask who else should hear from you: a partner, a friend, chosen family, a brother or sister. Ask what name the family used, and whether they'd rather not receive mail.

These letters are comfort and support resources. They aren't therapy or a substitute for professional care. If a family member seems to be struggling, please follow your program's bereavement risk and referral procedures.

How to use the Letter Maker

  1. Fill in your hospice. Name, phone, who signs, page style and logo. You do this once on each computer.
  2. Add a person. Click Add a new family and fill in steps 3 to 5. For someone else in that family, click Add someone else in this family. Each person gets their own letters.
  3. Pick who is reading it (step 4). An adult, a child, a teen, the parent of a child under 5, an adult who needs Easy Read, or parents after a baby died. Each gets its own set of letters.
  4. Add what fits, if you know it. Who they are to the person who died, faith, and the two optional sections, More about this person and Hard circumstances. Each adds a line only where it matters. Step 5 adds holiday and special day letters.
  5. Open a letter. Pick one from the Letter box or the Mailing schedule. Letters you can send any time, like Thinking of You or a note to the care team, are in the Letter box too.
  6. Change any word, then print or download. The page follows what you type.
  7. See who's due and save your list. Who's due, at the top, shows what to mail this week. Tick Mailed when one goes out. Click Save my list before you close.

Keeping your list

  • To save: click Save my list. A small file goes on your own computer. Nothing is sent to us. Pick a folder you'll remember, or look in Downloads.
  • Next time: click Open a saved list and choose that file. Everyone comes back, with any words you changed and what you ticked as mailed. Who's due, at the top, shows what to send today.
  • Save again after changes. Each save is a new file with the date in its name. Open the newest one. After it opens, the page tells you when that file was saved.
  • Keep it private. The file holds family names, so keep it with your private records.
  • On another computer: you'd need to move the file there yourself, following your hospice's privacy rules. Your hospice details and logo are kept in each computer's browser, so type those in again.
